Privacy Policy
Effective date: August 22, 2026 · Last updated: September 4, 2026
Contact Coordinator (“the Service”) is operated by Bryant & Harris Publishing Company Inc. (“we,” “us,” “our”). This policy explains what information we collect, how we use it, and the choices you have. By creating an account and using the Service, you agree to this policy.
1. Information we collect
- Account information — your name, email address, mailing address, phone number, and an optional profile photo, which you provide when you register or complete your profile.
- Content you enter — the contacts, notes, interactions, tasks, listings, appointments, documents, and other records you add to your networks.
- Security information — your hashed password and, if you enable it, your two-factor authentication settings.
- Usage and technical data — basic log information such as sign-in times and actions taken in the app (our audit log), used to keep the Service secure.
2. How we use your information
- To provide, operate, and maintain the Service and your account.
- To secure the Service, detect abuse, and troubleshoot problems.
- To send email that you initiate through the Service (for example, drip campaigns and messages you compose to your own contacts).
- To contact you about your account or important changes to the Service.
3. Your contacts’ information
You are responsible for the contact information you add. You confirm you have a lawful basis to store it and to send any messages you send through the Service. Every marketing email includes an unsubscribe link, and a contact who opts out is automatically excluded from future sends.
Text messaging (SMS)
If you use our text‑messaging features, we send SMS only to people who have provided their mobile number and agreed to be contacted — for appointment reminders, follow‑ups on inquiries, and replies to your questions. Message frequency varies, and message and data rates may apply. You can reply STOP at any time to opt out, or HELP for assistance. We do not share or sell mobile phone numbers, or SMS opt‑in consent, to any third parties for their own marketing or promotional purposes. For full details see our SMS Terms & Conditions.
4. How your information is shared
We do not sell or share your personal information (including as the terms “sell” and “share” are defined under California law — we do not share personal information for cross-context behavioral advertising). Information is shared only:
- With other members you invite to collaborate on a network, according to the role and permissions you grant them.
- With service providers who help us operate the Service (for example, our web host and outbound email delivery), under obligations of confidentiality.
- When required by law, or to protect the rights, safety, and property of our users or the public.
Connected services & Google API data
You can connect optional third‑party services to Contact Coordinator. When you do, we access only the data needed for the feature you enable, and only while the connection is active. You can disconnect at any time from within the app (and revoke access from the third party’s own account settings).
- Google (Gmail & Google Calendar) — if you connect your Google account, we send email on your behalf (Gmail) and/or read and write your calendar events to keep Google Calendar and your Contact Coordinator calendar in sync, for the features you turn on.
- Microsoft (Outlook) — to send email on your behalf, if connected.
- Stripe — to process payments you collect. Card details are entered on Stripe and are never stored on our servers.
- Plaid — to display bank balances and transactions you connect. You sign in at your bank through Plaid; we never receive your banking username or password.
- QuickBooks Online — to sync invoices and payments, if connected.
- Twilio (SMS & calling), Duffel and FlightAware (flight search and status), and LocationIQ (address lookup & maps) — used only to provide those features.
Google user data. Contact Coordinator’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically: the Google Calendar events we read and write, and the ability to send email on your behalf, are used only to provide the calendar‑sync and email features you enable; OAuth access tokens are stored encrypted and used only to act on your behalf; we do not use Google user data for advertising, do not sell it, and do not transfer it to others except as needed to provide these features or as required by law; and we do not allow humans to read this data except with your consent, for security or legal reasons, or where it is aggregated and anonymized.
5. Data security
We protect your data with industry-standard measures, including encrypted connections (HTTPS), hashed passwords, encrypted two-factor secrets, access controls, and restricted file storage. No system is perfectly secure, but we work to safeguard your information.
6. Data retention
We keep your information for as long as your account is active. Deleted records are held in the Recycle Bin for 30 days and then permanently removed. If you close your account, we delete or anonymize your personal information except where we must retain it to meet legal obligations.
7. Your choices and rights
You may review and update your profile at any time from your Account page, export your network data (Account & each network offer an export), or delete your account (Account → Delete my account; it is held recoverable for 30 days, then permanently removed). To make any other request, contact us using the details below. Depending on where you live, you may have the additional, specific rights described in the next sections. We honor verified requests and do not discriminate against you for exercising any privacy right.
Your California privacy rights (CCPA/CPRA)
If you are a California resident, you have the right to: know/access the personal information we hold about you and how it is used; correct inaccurate information; delete your personal information; and opt out of the “sale” or “sharing” of personal information and limit the use of sensitive personal information. Because we do not sell or share personal information and do not use it for cross-context behavioral advertising, there is nothing to opt out of — but you may still exercise your access, correction, and deletion rights. The categories of personal information we collect are described in Section 1 (identifiers such as name/email/phone/address, your account and security data, the content you enter, and usage/technical logs); we use them for the business purposes in Section 2 and disclose them only to the service providers in Section 4. To make a request, email privacy [at] contactcoordinator.com; we will verify your identity through your account, and you may use an authorized agent. You will not be discriminated against for exercising these rights.
Other U.S. state privacy rights
Residents of Virginia, Colorado, Connecticut, Utah, Texas, and other states with comprehensive privacy laws have similar rights to access, correct, delete, and obtain a portable copy of their personal information, and to opt out of targeted advertising, sale, or certain profiling. We do not conduct targeted advertising, sell personal information, or engage in such profiling. Where your state provides an appeal process, you may appeal a decision by replying to our response; if you have unresolved concerns you may contact your state Attorney General.
European Economic Area & United Kingdom (GDPR)
If you are in the EEA, the UK, or a similar jurisdiction, the following applies.
- Our roles. For your own account information we act as a data controller. For the contact and business records you enter into your networks, you are the controller and we act as your data processor, handling that data on your instructions. Business customers who need one can request a Data Processing Agreement (DPA) at privacy [at] contactcoordinator.com.
- Legal bases. We process personal data to perform our contract with you (providing the Service), for our legitimate interests (securing and improving the Service), to comply with legal obligations, and with your consent where required (for example, optional connected services).
- Your rights. You may request access, rectification, erasure, restriction of or objection to processing, and data portability, and you may withdraw consent at any time. You also have the right to lodge a complaint with your local data-protection supervisory authority.
- Exercising them. Email privacy [at] contactcoordinator.com; we respond within the time your law requires (generally one month).
International data transfers
Contact Coordinator is operated from, and its data is stored in, the United States. If you access the Service from outside the U.S., your information will be transferred to and processed in the U.S. Where required, we rely on appropriate safeguards for such transfers (for example, the European Commission’s Standard Contractual Clauses) and take steps to protect your information consistent with this policy.
Other regions (Brazil, Canada, Australia & more)
If you are in Brazil (LGPD), Canada (PIPEDA), Australia, or another country with a data-protection law, you have similar rights — to access, correct, delete, and obtain a copy of your personal information, to understand how it is shared, and to complain to your local data-protection authority. To exercise any of these, contact us at privacy [at] contactcoordinator.com and we will honor your request as your local law requires.
8. Cookies
We use a single essential session cookie to keep you signed in, and an optional “remember me” token if you choose to stay signed in on a device. We do not use third-party advertising or tracking cookies.
9. Children’s privacy
The Service is not intended for anyone under 16, and we do not knowingly collect information from children.
10. Changes to this policy
We may update this policy from time to time. If we make material changes, we will update the “Last updated” date and, where appropriate, ask you to review it again.
